Zoom’s AI Companion, is available to opt-in for the ASU community

 

Zoom meetings now boost collaboration, connection and creativity through the power of artificial intelligence (AI). ASU community members can now opt-in to utilize select features of Zoom's new generative AI assistant, AI Companion

With the FERPA-compliant AI Companion and the consent of your meeting participants, you can save time, enhance overall productivity,  and make your virtual collaborations more efficient and seamless. 

  • Companion Questions: AI Companion lets you quickly catch up and clarify what you missed in a meeting without interruption. This can spark engaging discussions and ensure everyone's voice is heard.
  • Smart Recordings: AI Companion brings intelligence to your recordings, allowing you to quickly revisit key moments and insights. This feature is enhanced with conversation analytics, topic-tracking indicators, and playlists.
  • Meeting Summaries: AI Companion provides meeting summaries and tells you who said what, highlights essential topics, and outlines the next steps, all available via email and Team Chat. This ensures everyone leaves with the same conversation record and understanding of action items.

ASU best practice notes that if you use an AI transcription service, the provided Zoom instance is the only FERPA-approved choice. Keep this in mind while utilizing other third-party tools. 

While the opportunities afforded by these new features are exciting, it is essential to keep in mind: 

  1. Always have the consent of all meeting attendees prior to using the AI Companion. 
  2. The AI companion is FERPA-compliant and may be used in teaching, learning, or advising settings. Please keep sensitive information such as copyright and intellectual property considerations in mind when deciding whether to use the AI Companion or any other recording feature and the summary it provides. Should you opt-in to this feature in your account, you cannot turn it off mid-meeting. Additionally, the companion keeps transcript records for 30 days.
  3. Community members with HIPAA restrictions in Zoom will not have access to the companion feature.

To turn on this feature in your Zoom account, refer to the following steps:

  • Log into your account at https://asu.zoom.us/.
  • Go to the settings in the menu on the left side
  • Click on the tab called AI Companion and turn on the functionality
